Meeting Frequency
The frequency of the subcommittee meetings was developed as follows: quarterly meetings through 2006 and monthly meetings starting in January 2007

Sara Stamp will add the Dragon Run Day Subcommittee meetings to the website. The next meeting will be held Wednesday, October 4th at the PDC Regional Boardroom at 6:30pm.

EVENT PLANNING
Event Review
When: Saturday, October 20, 2007 from 10am to 4pm.
Where: RCC Glenns Campus

Vendors
The subcommittee discussed what type of vendors should operate at the event. The subcommittee agreed that food vendors are fine, watershed craftspeople are fine, heritage crafts or displays are fine as well as any Native American displays or crafts.

The subcommittee is interested in requiring written applications from interested crafts people to assure that the heritage and quality are appropriate for the event. A picture of product samples will be required with the application.

The subcommittee would like to approach vendors (like Karen Podd) instead of opening the opportunity to the general public or craft forums.

Friends of Dragon Run would like a booth.

Displays
Mr. Miller noted that he has an acquaintance who is the mother of an Indian dance participant. He will contact her next week to discuss how the subcommittee may extend an invitation for the dancers to do an exhibition. Pat will talk to Gene Adams.

The subcommittee expressed an interest in doing a Shad Hatchery Exhibit and video. The subcommittee would also like to invite the "snakeman" and Bill Trout (gentleman with knee britches and maps) to return, as well as finding an antique assessor. Sally Mills knows good references and contacts for timbering and other natural resources of the Middle Peninsula. Robert Majors was recommended to give a history of logging on the Dragon. The subcommittee would also like to invite Carolyn Foronda, Virginia Poet Laureate to read her poem on the Dragon. An indigenous butterfly/dragonfly exhibit would also be nice.

It was recommended that a chalk outline of the watershed be done as a display.

EVENT PLANNING

Event Date Selection
As the first order of business, the subcommittee selected a date for the Dragon Run Day Event. After consulting the Jamestown 2007 website to determine conflicts, the subcommittee decided on Saturday, October 20, 2007 from 10am to 4pm.

Event Location Selection
The subcommittee created a list of potential sites to consider for the event. Ultimately, the top two sites were 1) Rappahannock Community College and 2) Saluda-Bowden Street and the area between the church and the old and new courthouses. Other locations were considered, however not selected due to accessibility, parking, etc. Prue Davis volunteered to contact Sissy Crowther at the college to set the location. Sara Stamp will email subcommittee upon site confirmation.

Calendar Contacts
The subcommittee developed a list of groups that should be contacted to get on their calendars of events. Subcommittee members who volunteered to contact these organizations are listed in parenthesis. These include:
1) Jamestown 2007 - Jack Miller
2) All of the county government website calendar contacts of the Middle Peninsula and the Northern Neck - Prue Davis (NN, Essex, King William, Mathews); Jack Miller (Middlesex); Frank Herrin (King and Queen and will make contact with someone in Gloucester)
3) Virginia Tourism Council/Virginia River Country - Sara will talk to Harla
4) Locust Grove Art Event (Walkerton, June 10) - Prue Davis
5) Friends of Dragon Run - Frank Herrin
